Key Take Aways
When people ask me how we scaled four Med Spas in just three years, they often assume the answer is hiring more people.
It wasn’t.
The biggest breakthrough came when we stopped trying to solve operational problems with more staff and started fixing the systems that everything runs on. Once we put the right technology in place, and more importantly, connected it together, manual work disappeared, revenue increased, and we stopped being the bottleneck in our own business.
One thing I notice when I talk to other clinic owners is that most practices have accumulated a collection of disconnected software tools. Scheduling lives in one system, patient records are somewhere else. Marketing runs through another platform, forms are emailed manually and payments happen somewhere different. Every time your team has to jump between systems, you’re creating more work, more opportunities for mistakes, and more chances for leads or patients to fall through the cracks.
Our goal was never just to buy good software. It was to build a connected system that does the work for us. Here’s the exact tech stack we use today, why each piece matters, and why the real magic isn’t in the individual tools, it’s in how they work together.
Everything starts with your CRM. For us that has been GoHighLevel. Every lead whether it comes from Google Ads, Facebook, referrals, events, or our website flows into one place. That visibility is incredibly important. If your leads are scattered across multiple systems, it’s almost impossible to manage follow-up consistently. Eventually, someone gets missed. GoHighLevel gave us a single view of every opportunity and became the starting point for our entire patient acquisition process. I actually taught myself how to use it. It’s surprisingly user-friendly and incredibly cost-effective for what it does. If your team isn’t confidently using your CRM, that’s the first place I’d focus.
This is where I think many clinics have the biggest gap. Most EMRs do an ok job of storing patient records and documenting visits. Unfortunately, that’s often where they stop. Your EMR shouldn’t be another isolated system. It should be the operational hub that connects everything else. What we use is Lobbie and there is a reason it's been such a game changer for us. Lobbie sits at the center of our business. It not only managing online booking, digital intake forms, appointment confirmations, reminders, prescriptions, labs, payments, and patient records, it also seamlessly integrates with everything else in our tech stack. Everything flows into one place. If your booking system isn’t integrated with your EMR, you’re probably losing hours every week to manual work. The amount of time this has saved our front desk is hard to overstate.
If I had to point to the one part of our system that has had the biggest impact on revenue, it would be our automated nurture flows. Every new lead receives a text message and email within seconds. Both include our online booking link. From there, they enter a series of automated follow-up messages that continue over the coming days, weeks, and months. Nobody on our team has to remember to follow up. The system does it.
But the real power comes from the integration between GoHighLevel and Lobbie. If someone cancels an appointment or doesn’t show up, Lobbie automatically up dates their status, moves them into the appropriate pipeline inside GoHighLevel, and launches a new rebooking sequence.
We have automated workflows for:
No one falls through the cracks because the system keeps working until the patient books, opts out, or becomes an active patient. That consistency has had an enormous impact on our booking rate.
One thing I think gets overlooked when people talk about technology is the staff experience. The best software in the world won’t help if your team spends all day switching between four or five different systems. Because Lobbie sits at the center of our operation, our staff works primarily from one platform. They can quickly see:
They’re not manually sending forms. They’re not making reminder calls. They’re not chasing paperwork. Instead, they spend their time where it matters most, building relationships with patients and delivering a great in-clinic experience. That also improves accuracy. Information flows directly from one connected system to another, reducing human error while making training much easier for new employees.
Putting the right technology together has completely changed how we operate. Our response time is dramatically faster. A lead that comes in at 3:00 AM receives a response within seconds. Our team spends far less time on repetitive administrative work and much more time growing the business through marketing, partnerships, and patient care. Personally, I used to spend hours every day calling and texting leads. I couldn’t keep up. Even working harder wasn’t enough. Today, I don’t do any of that manually, and our booking rate is higher than it’s ever been.
If there’s one thing I’d leave you with, it’s this: The real advantage isn’t having great tools. It’s having connected tools.
Our stack is simple:
When everything talks to each other, your clinic starts running differently.
And you finally have the freedom to focus on growing your business instead of managing it. If you’re evaluating your own technology, don’t just ask whether each tool is good. Ask whether they work together. Because that’s where the real transformation happens.
